Pricing

How SynapticSci is priced.

Our software runs in production for clients including UW Veterinary Care, Maine DOT, and NIEHS. Your first step is a thirty-minute conversation with an expert.

SynapticSci prices four parts separately. Software licenses and hosting make the software-as-a-service price, and there is no hosting charge when you run the software in your own Microsoft tenant. Sustain is a Service Level of Included Hours, priced per year with a twelve-month minimum. Project services are fixed scope or time and materials, under a statement of work. Every price shown is an approved list price.

Everything we sell fits one of four parts, and they match the lines your purchasing office already uses.

01The four parts

Everything we sell sits in one of four parts

Your purchasing agent can work straight from these four parts, which map directly to the Master Agreement’s defined terms.

PartWhat it holdsBought as
1 · LicensesNamed user seats, portal packs, and modulesAn annual subscription
2 · HostingPer-SKU hosting, baseline and additional capacity, and extra environmentsAnnual, and only when we host
3 · SustainA Service Level of Included Hours, and Coverage additionsPer year, twelve-month minimum
4 · Project servicesFixed-scope engagements, the Understand phase, training, time and materials, and prepaid blocksPer statement of work
Fig. 2 The four parts, with the prices in the sections below.

Time and materials and fixed scope are the two ways to contract a project, and both sit in part 4, where you can compare them. Sustain is a separate part with its own terms.

02Part 1 · Software licenses

Licenses are named users, portal packs, and modules, bought annually

  • Lab User: a named person who works in the system
  • Designer/Admin: a named person who configures it
  • Portal, authenticated users: submitters who sign in, in packs of 100
  • Portal, anonymous visitors: in packs of 500
  • Modules: in this part too

All of it is an annual subscription.

Table 1 LabSci software: license and hosting prices by item. Each is its own annual price, and Hosting explains the hosting column.

Per year · minimum commitment twelve months · effective 1 October 2026. License and hosting are separate prices, and no combined figure is stated. Hosting: hosted by SynapticSci; none when self-hosted in your own tenant; requires the matching LabSci licence.

ItemLicenseHosting
Lab Userper named Lab User$2,346$305
Designer/Adminper named Designer/Admin$4,691$611
Portal, authenticated usersper pack of 100 authenticated portal users$3,892$3,053
Portal, anonymous visitorsper pack of 500 anonymous portal visitors$1,348$1,145

03Part 2 · Hosting and platform capacity

Hosting is charged only when we run the software for you

This part holds per-SKU hosting, baseline capacity, additional capacity, and extra environments, bought annually. Running the software in your own tenant is the default, and then there is no hosting charge. SynapticSci can host it for you instead.

In your own tenant you hold the Microsoft licensing (Power Apps per user plus Dataverse capacity), and there is no hosting line. The Trust page says where your data lives in each case.

The products are managed Dataverse solutions that run in three environments (development, user acceptance testing, and production), with release notes for every deployment. Environments beyond those three are the extra-environments line in this part. If you administer the tenant, the identity and operations section on the Trust page says what we require of it.

Each hosting price sits beside its license in Table 1, as a separate annual price that requires the matching license.

04Part 3 · Sustain

A Service Level of Included Hours, and Coverage for when something breaks

Sustain has two parts you choose independently. A Service Level gives you Included Hours each month, with Status Check-ins, Backlog Reviews, and Executive Reviews that decide what those hours go to. Coverage sets the hours we respond in when something breaks. Standard Coverage is included with your license, and Extended Hours and 24×7 Coverage are Coverage additions, priced in Table 3. Severity A is as defined in your order form and the Master Agreement.

Both are priced per year, with a twelve-month minimum. Defects in what we delivered are always Restore, and Break-Fix support never draws Included Hours. The Sustain page explains how three questions decide who does what.

Table 2 Sustain Services: the four Service Levels.

Per Service Level · per year · minimum commitment twelve months · effective 1 October 2026. Every Service Level includes Status Check-in, Backlog Review and Executive Review meetings and Break-Fix support, none of which draw Included Hours. Unused Included Hours roll forward to at most one month's allocation and expire at the end of the Contract Term. It excludes effort beyond Included Hours, which needs written approval and is billed at the Service Level Rate in the Order.

05Part 4 · Project services

Fixed scope, or time and materials

We start with a fixed-scope on-site Understand phase, then build one proven step at a time, so your laboratory sees a working result before committing further. The Understand phase comes before any fixed price, and it produces an on-site analysis, a needs summary, user stories, and plans. How we work describes all four phases.

The Understand phase is fixed-scope and fixed-price after a first conversation. Implementation is fixed-scope after Understand, or time and materials at a published hourly rate, billed hourly or bought in prepaid blocks of hours. Training is fixed-fee per course.

Table 4 Professional Services, separate from Maintenance and Support Services.

Effective 1 October 2026. Time and materials is billed per hour, per statement of work; every other line is one-time.

06FormSense

Metered by what reaches review

FormSense is available now. It is metered by FormSense Credits, one per page that reaches review, with tiers sized to your monthly volume. We give the tier figures in the conversation.

One FormSense Credit is charged when a page reaches review. Retries, review, corrections and delivery use no more credits, and named users are unlimited. Guided onboarding, dedicated deployment and premium support are priced separately. FormSense shows the record a page becomes.

07Which parts apply

Which parts apply to your laboratory

Every laboratory that runs a SynapticSci product buys licenses. It buys hosting only if we host, Sustain for the years after go-live, and project services to get there. Your product page describes the same four parts in its own words.

Which parts apply to your laboratory Five numbered starting points on the left name the laboratories that buy from SynapticSci: VetSci for veterinary diagnostic laboratories, DOTSci for materials-testing laboratories, LabSci for research, environmental, forensic and other laboratories, FormSense for any laboratory where paper still arrives, and a laboratory already live on LabSci. 08Pricing FAQ

What purchasing asks before the order is written

01

Does support cost extra?

Standard Coverage is included with your license. Extended Hours and 24×7 Coverage are Coverage additions, priced per year. Severity A is as defined in your order form and the Master Agreement.

02

What happens if we submit more requests than our Included Hours cover?

Clients may submit an unrestricted number of requests to the backlog. Your Service Level's Included Hours set how much we develop each month, and requests are worked in the client's own priority order. Effort beyond Included Hours needs your written approval first and is billed at the Service Level Rate stated in your order form.

03

Can we change Service Level?

Yes. You can change it at renewal, up or down.

04

When does Sustain start?

Sustain starts at contract execution.

05

Do you sell hours?

Yes. We sell prepaid blocks and time and materials, and we will tell you when a Service Level is cheaper.

06

Is there a minimum term?

Yes. The minimum term is twelve months for licenses, hosting, Service Levels, and Coverage additions.

07

Do prices change?

Prices change annually, with notice, as your order form describes.
